Forecasting and analytics

Restaurants generate plenty of numbers: sales by hour from the POS, labor from the time clock, purchases from supplier invoices. The trouble is that they sit in different systems. Analytics tools in this category pull those sources together so an owner can see prime cost, labor percentage and sales trends in one place, by day and by location.

Forecasting is where AI earns its place here. A sales forecast that accounts for day of week, weather, local events and holidays turns into a labor target for the schedule and a prep list for the kitchen. Ask how a vendor measures its forecast accuracy, how it handles a new location with little history, and whether managers can adjust a forecast when they know about a private event.

Some products are pure analytics layers. Others, such as Restaurant365 and Craftable, are broader back-office suites with accounting and inventory, where reporting is one part. Pick based on what you already run: if accounting and inventory are covered, a reporting layer may be enough.

Plan who will read the numbers. A dashboard nobody opens changes nothing. The most useful setups send a short daily summary to each general manager, with the two or three measures that matter for that site, and keep the deeper reports for the weekly meeting. Ask whether the tool can send that kind of summary by email or text.

Start small with any of these tools. Connect the POS and payroll first, check that the sales and labor numbers match what you already see, and only then add invoices and inventory. Trust in the numbers is what makes managers act on them.

Questions about forecasting and analytics

What data does a restaurant analytics tool need?

At minimum, POS sales. Most also connect to labor and payroll, and the fuller tools read supplier invoices and inventory counts too. The more sources connected, the closer the tool gets to showing prime cost by day.

How accurate are AI sales forecasts?

It varies by restaurant and by how much history you have. Ask the vendor to back-test a forecast against your past weeks, and watch how it handles holidays and one-off events. A forecast managers can adjust is usually more useful than one they can't.

Do I need accounting software as well?

Usually yes, unless you choose a back-office suite such as Restaurant365 that includes accounting. Pure analytics tools read from your accounting and POS systems; they don't replace them.

Are these tools only for multi-location groups?

They pay off fastest with several locations, where comparing sites by the same measures is hard by hand. A single busy restaurant can still use forecasting to set schedules and prep, so ask about pricing for one location.
