Scheduling an hourly restaurant team by hand is slow and error-prone: availability changes, people swap shifts by text, and labor cost only becomes clear when payroll runs. Scheduling apps built for restaurants put the schedule, availability, swaps and time-off requests in one app staff carry on their phones.
The useful ones connect to the POS. With sales flowing in, a manager sees labor cost against revenue during the week and can schedule to a forecast instead of last week's pattern. Some add AI that suggests a schedule from forecast demand, which managers then adjust.
Look at the rules you work under. Several cities and states have predictive scheduling laws that require advance notice of schedules and pay for last-minute changes, plus break and overtime rules. Ask how a tool tracks those for your locations, and remember the employer stays responsible for following them.
Time clocks, tip pooling and payouts, team messaging and onboarding often come in the same app. Bundling them saves logins, but check how each piece connects to your payroll provider so hours and tips don't need re-keying.

Finally, ask your staff. An app that is clumsy on a phone won't get used, and shift swaps will drift back to group texts.
Tips add another layer. Pooling rules, who is eligible, and how card tips are paid out vary by state and by restaurant, and mistakes are expensive. Some apps here calculate tip pools from POS data and pay staff out through payroll or an instant payout feature. Ask how the calculation can be audited, and check the rules that apply where you operate before you switch it on.
Hiring and onboarding are the other add-on. Harri and Fourth come from the hiring and workforce side for larger hospitality groups, while 7shifts and Homebase add onboarding checklists and document collection for smaller teams. If turnover is your largest staffing cost, weigh those features as heavily as the scheduler itself.
Communication is the quiet benefit. A team chat inside the scheduling app keeps shift notes, menu changes and announcements in one place instead of personal phone numbers in a group text. When someone leaves, removing them from the app removes their access to the team channel at the same time. Ask whether messages can be limited to a location or a role, so the kitchen isn't pinged about front-of-house changes.
7shifts, Homebase and Sling offer free plans for small teams. Free plans usually limit locations or features such as labor forecasting and integrations, so check what your size of team needs.
Many can. 7shifts connects to Toast, Square and many other restaurant POS systems, and Homebase connects to Square among others. The connection lets the schedule show labor cost against live sales.
Some help by tracking notice periods and premium pay where those laws apply. The employer is still responsible for compliance, so check the specific rules for your city or state and confirm how the app handles them.
Most apps let staff offer and pick up shifts, with manager approval as an option. Approval settings help stop swaps that push someone into overtime.
